There are many tips and tricks that companies can use to manage their time better. One of the most effective ways of ensuring a smooth operation is to manage your employees schedule efficiently.

This is not as difficult as it sounds, and over the next few pages, you will learn the dos and don’ts of employee scheduling.

The Right Number of Staff

Before you can begin, you need to ensure that you have the right number of staff for your projects. Having too many will leave workers idle, and that can cause friction amongst your team. However, having too few employees will also see employees overworked and liable to suffer from burnout.

It is ideal to have just enough staff to get the project done comfortably within the timeframe decided, with one or two emergency workers on standby and ready to step-in in case of holidays, sickness, or other unforeseen events.

Proper Workload Scheduling

Additionally, proper workload scheduling can increase efficiency and ensure team productivity. Once you have your team set-up, you should really focus on dishing out the tasks to them according to their strengths. Some employees can work at a quicker pace than others.

You are going to want to look at working hours, weekend hours, employee skills, and possibly partnering up employees to do work together. By organising a proper schedule for the workload, you can share that project out. The less stressful each employee’s task is, the more efficient they are likely to be.

Constant Communication

Having employees talk to one another is critical to success. Scheduling conflicts should be resolved as soon as they appear, and the best way to do this is to keep a constant line of communication. Ideally, creating a work schedule in advance (at least a few weeks ahead of time) will allow your staff to organise their time properly.

This will also give you enough time to draft in one of those emergency workers we discussed earlier or speak to management about taking on new staff if required. It also allows you to discuss rotating shifts with employees and getting them on board. They are more likely to be happy and efficient if you do not force them to work an unscheduled shift.

Cross-Training Can Help

Have you thought about cross-training? You do not need to get too intensive here but teaching your employees a few new tricks and providing basic education and learning skills in other fields can help them multitask.

This is hugely important if you need one of your employees to jump ship and start working on something they would not ordinarily do. Having staff who can chop and change between the different aspects of a project is a crucial part of being able to manage your company’s time and scheduling issues effectively.

Get a Helping Hand with Scheduling Software

If all this sounds too much, you should know that there is scheduling software out there which can help. These can warn you ahead of time about scheduling conflicts, check the availability and timesheets of employees, and remind you of which employees are best suited to which projects based on their skill sets.

They also allow you to monitor each employee’s working time and preview how long it is going to take (and how much it is going to cost) to complete a project based on your schedule. There are many places where such software can be snapped up online and cost-effectively to boot.

By incorporating the few simple steps listed above, you can have your company’s team on their toes and working more efficiently than ever before. At a time when COVID is ensuring that many employees work from home, this has never been more important.
